Build an AI-Ready Company Knowledge Base in Macedonia
Organize policies, product information, and procedures so employees and AI agents can find current answers without confusing access or ownership.

An AI agent cannot reliably answer business questions if the company itself has several conflicting answers. Old price lists, duplicate procedures, undocumented exceptions, and unclear document ownership create problems for employees and technology alike.
An AI-ready knowledge base is not one giant folder. It is a maintained set of approved information with clear purpose, access, and accountability. Building it can improve operations even before the first agent is introduced.
Start with one role and its questions
Do not attempt to organize every document in the company at once. Choose the workflow planned for the pilot and list the questions it must answer.
For a customer support role, that may include:
- What products or services are currently offered?
- Which setup instructions are approved for customers?
- What is the standard delivery or support process?
- Which requests require account verification?
- How are complaints escalated?
- Which promises must a manager approve?
This list defines the useful knowledge boundary. Documents unrelated to the role should remain outside its access.
Create an inventory with owners
For every source, record its title, purpose, audience, sensitivity, owner, approval status, and review date. The owner must be able to decide whether the content is correct.

If nobody owns a document, it should not quietly become authoritative.
Remove conflict and ambiguity
Compare duplicate sources. Keep one current version, archive the rest, and make the replacement visible. Write procedures in concrete language: who does what, under which condition, with which approval.
Separate facts from examples. A successful exception for one customer is not automatically the general policy. Mark temporary guidance with an expiry date. When regional or language differences exist, state them explicitly.
For Macedonian and English content, maintain reviewed versions rather than assuming a literal translation will preserve legal, commercial, or operational meaning.
Design access around the task
Classify knowledge into levels such as public, internal, confidential, and restricted. An agent answering website questions needs public-safe product and service information, not employee records or commercial agreements.
Access should follow least privilege: only the sources necessary for the role and only for as long as required. Distinguish between information the agent may use in an external reply and information it may use only to prepare an internal summary.

Make uncertainty part of the answer
The knowledge base should include escalation instructions for questions it cannot support. An agent needs permission to say that the available information is incomplete or conflicting.
A good fallback states what is known, identifies what is missing, and sends the issue to the correct owner. This is safer and more useful than a smooth but unsupported answer.
Test with real questions
Build a set of ordinary, poorly worded, incomplete, and sensitive questions. Ask experienced employees to define the expected answer or escalation. Test whether the agent finds the correct source and whether the response stays within the intended audience.
Track:
- Correct source selected.
- Answer accepted with minor edits.
- Missing or outdated knowledge.
- Conflicting guidance discovered.
- Sensitive information correctly withheld.
- Escalation sent to the right owner.
- Time employees spend searching before and after the pilot.
Repeated misses should improve the source or process, not just the individual response.
Treat knowledge as an operating asset
Schedule reviews, especially after product, price, staffing, or policy changes. Give employees an easy way to report an outdated answer. Record changes so the team understands what replaced previous guidance.
