AI Lead Research: How to Build a Prospect List You Can Trust
A useful prospect list explains why each company belongs, where the evidence came from, and what remains uncertain.

AI lead research should produce more than a spreadsheet of company names. A trustworthy result contains a reason the company matches the target, public evidence for that reason, separate contact reliability, and enough context for a person to accept or reject the prospect.
The research process begins with a narrow market definition.
Write the target before searching
| Target field | Example |
|---|---|
| Geography | North Macedonia and neighboring markets |
| Industry | Industrial equipment distributors |
| Company role | Distributor, reseller, or service partner |
| Size signal | Multi-location or established B2B operation |
| Need signal | Complex product enquiries or active commercial catalog |
| Exclusions | Competitors, existing customers, consumer-only retailers |
| Requested volume | Twenty researched companies, not an unlimited scrape |
The criteria should reflect observable public facts. Avoid targets based on private assumptions such as "companies struggling with sales."
Research evidence, not only keywords
A search result containing the right word does not prove fit. Open the company's public sources and look for evidence.
Useful sources include:
- Official company website.
- Product and service pages.
- Public location and contact pages.
- Reputable business directories.
- Public professional profiles.
- Published certifications, partner pages, or catalogs.
Record the exact source URL beside the claim it supports. A reviewer should be able to reproduce the conclusion.
Separate fit from contact reliability
A strong-fit company may have no reliable published email. A published email may belong to a weak-fit company. These are different judgments.
| Dimension | Question | Example score meaning |
|---|---|---|
| Market fit | Does the company match the written target? | High: several direct public signals |
| Evidence quality | Are the sources official and current? | High: first-party pages support the conclusion |
| Contact reliability | Is a business contact publicly attributable? | High: address appears on the official domain |
| Outreach readiness | Is there enough context for a relevant message? | High: a real offer-to-need connection is visible |
Do not create an email address by guessing a person's naming pattern. Use only published business contact evidence.
A missing contact is uncertainty to preserve, not a gap to fill with invention.
An illustrative lead record
Suppose the target is regional industrial distributors.
Company: Example Industrial Supply
Fit reason: The official site lists industrial components, technical support, and regional distribution services.
Evidence: Product category page, about page, and regional contact page.
Contact reliability: General sales address published on the official domain; no named decision-maker verified.
Suggested angle: Faster preparation of repetitive product and delivery enquiries during peak periods.
Uncertainty: No public evidence about current inbox volume or automation priorities.
This record supports a relevant message without pretending to know the prospect's private pain.
Review before outreach
Prospect review should offer clear actions:
- Accept for outreach preparation.
- Reject as poor fit.
- Suppress from future research and outreach.
- Return for more evidence.
- Merge with an existing company record.
Suppression should be durable. If a company opts out, is a competitor, or should never be contacted, changing a workflow status back to "new" must not silently remove the suppression decision.
Keep outreach evidence-based
Personalization should connect one verified public detail to the customer's real offer.
| Weak personalization | Better personalization |
|---|---|
| "I know your team is overwhelmed." | "Your site shows a broad technical catalog across several product groups." |
| "You are losing leads." | "You publish dedicated enquiry routes for sales and technical support." |
| "We can transform your business." | "Steadframe can prepare grounded first drafts for eligible enquiries while your team keeps approval." |
The better version remains specific without inventing a problem.
