How AI email management works

A safe email workflow combines eligibility checks, private knowledge retrieval, drafting, escalation, mailbox delivery, and human review.

The workflow begins before generation

A safe email system should not send every incoming message to a model. It first checks whether the message belongs to the connected mailbox, looks like direct human correspondence, and falls inside the employee's allowed scope.

Mailing lists, automated notices, irrelevant recipients, unsafe attachments, and sensitive topics can be skipped or escalated before a draft is considered.

Grounding the draft

For an eligible message, the system searches only the organization's approved documents, FAQs, and examples. It selects the parts relevant to the request and includes them as context for the draft.

This is different from asking a model to answer from general knowledge. Delivery terms, prices, policies, and technical details should come from the company, not from a guess.

Review and escalation

A useful workflow makes uncertainty visible.

  • Routine drafts enter the connected mailbox or review queue.
  • Commercial, legal, financial, and security-sensitive requests can use a stronger review path.
  • Missing knowledge produces an escalation or clarification request rather than a confident invention.
  • Human edits and sent replies can become approved examples for future work.

From one email to a managed conversation

Once the team sends a reply, the system can record whether another response is expected. The Follow-Up employee then watches the conversation, pauses when a reply arrives, and prepares the next appropriate step when it does not.
